COVID-19 Employee Procedures

This update provides guidance to employees and supervisors regarding steps you can take to protect yourself and others when experiencing SYMPTOMS of the coronavirus and what to do if you or someone you have had contact with tests positive.
Guidance for all Employees
Face covers and social distancing/hygiene measures continue to be THE BEST defensive measures we can take to manage our situation. The ELT and the Risk Management Department feel confident about what has been done so far and we continue to plan for the future.
Protecting the health and safety of our students and employees is our biggest priority at Yavapai College. At YC, we value the safety and health of our students, employees, and the community above all else. As a college, we understand that health, safety, and environmental management is critical, and we hold it as a core value. It isn’t just something we do, it’s who we are. To ensure that we are providing all necessary assistance, YC requires all employees to do the following:
- ISOLATE and self-report via the Employee Reporting Form under the COVID-19 panel in the myYC portal if you have tested positive for COVID-19. Also, notify your supervisor so they can assist you as appropriate.
NOTE: Only YC Contact Tracing has the authority to release students or staff from isolation/quarantine. Our team will follow-up with impacted students as appropriate to ask questions to aid in contact tracing efforts.
What should you do if a student tells you they have tested positive for the virus?
Please direct the student to the COVID-19 Student Procedures webpage which will ask them to self-report via the Student Self-Reporting form under the COVID-19 panel in the myYC portal. Also, please ask the student to notify their instructor(s) and follow CDC guidelines. Keep the student’s name confidential.
Guidance for Supervisors
What should you do if an employee calls in sick?
If an employee calls in sick, counsel them to self-report via the Employee Reporting Form under the COVID-19 panel in the myYC portal. Do not quiz the employee about his/her illness. The employee may self-disclose facts, but you should not ask detailed questions. Discuss whether they will continue working or will not be working. Ensure that sick leave is entered into the time keeping system if needed. Reach out to your HR Business Partner via email for additional guidance.
What should you do if an employee comes to campus with symptoms?
If an employee comes on campus with symptoms send them home immediately. They can work from home. Notify your HR Business Partner via email if you send someone home. In addition, counsel them to self-report via the Employee Reporting Form under the COVID-19 panel in the myYC portal.
What should you do if an employee tells you he/she has tested positive with COVID-19?
If your employee has a POSITIVE TEST or is symptomatic, make sure they are out of the work environment, ask them to self-report via the Employee Reporting Form under the COVID-19 panel in the myYC portal, and contact your HR Business partner via email AND phone BEFORE you do anything else. Your HR Business Partner will work with you to implement the College Employee Corona Virus Notification Protocol. Neither the supervisor nor the employee should communicate to others until you have received HR guidance.
