Embedded Tutoring Program
Tutoring Services' embedded tutoring program provides faculty with the opportunity to integrate a student tutor into their course. Embedded tutors are not TAs and are not permitted to do work that you are being compensated for (i.e., lecture, grading, lesson planning, etc.).
Types of Embedded Tutors
Tutoring Services' embedded tutoring program offers four levels of tutor integration. Embedded tutors are primarily assigned to courses in English, Math, and Science, as well as those with high DFW (Drop, Fail, Withdrawal) rates. Placement at all levels depends on available staffing and funding. For Levels 2 through 3b, faculty must complete the YC Embedded Tutor micro-credential.
Level 1: Drop-In Tutor with Canvas Access (Observer Role)
These tutors have view-only access to Canvas, allowing them to see assignments and course content. This helps them stay informed about weekly topics when students come in for tutoring. Here’s what you need to know:
- Canvas Role: Observer (No interaction with students in Canvas/Class).
- Tutor Requirements: Must be a current drop-in tutor who has previously completed the course at Yavapai College or another accredited institution and is officially designated as a tutor for that subject.
- Faculty Involvement: No additional faculty requirements.
- Student Interaction: Drop-in tutoring only (no scheduled appointments) and no interaction in Canvas.
- Onboarding Timeline: It typically takes 1 day to set up a tutor in Canvas, and 1 week for them to review the material if it falls within their general expertise. If no tutor is available, the Learning Center will explore adding one based on funding.
- Certification: All drop-in tutors either have or are working toward their Level 1 College Reading and Learning Association (CRLA) certification.
Level 2: Drop-In Tutor with Canvas Engagement
These tutors have Canvas access to view assignments and can also respond to discussion posts at the request of the faculty, send announcements encouraging students to use tutoring services, and provide a video introduction that can be embedded in Canvas. Here’s what you need to know:
- Canvas Role: Limited Interaction (Discussion & Announcements).
- Tutor Requirements: Must be a current drop-in tutor who has previously completed the course at Yavapai College or another accredited institution and is officially designated as a tutor for that subject.
- Faculty Involvement: Must complete the Embedded Tutor Micro-Credential and have regular communication with the tutor.
- Student Interaction: Drop-in tutoring only (no scheduled appointments) and engagement within Canvas (discussion posts & announcements).
- Onboarding Timeline: It typically takes 1 day to set up a tutor in Canvas, and 1 week for them to review the material if it falls within their general expertise. If no tutor is available, the Learning Center will explore adding one based on funding.
- Certification: All drop-in tutors either have or are working toward their Level 1 College Reading and Learning Association (CRLA) certification.
Level 3a: Online Peer Embedded Tutor
Online tutors provide asynchronous embedded support in Canvas with several key responsibilities. They respond to discussion posts and give feedback on assignments at the request of faculty, send announcements to encourage students to use tutoring services, and provide a video introduction embedded in Canvas. Here’s what you need to know:
- Canvas Role: Frequent Interaction (Discussion, Announcements, and Assignments).
- Tutor Requirements: Must have completed the course with a grade of B or higher and obtained a recommendation from a Yavapai College faculty member.
- Faculty Involvement: Must complete the Embedded Tutor Micro-Credential and have regular communication with the tutor.
- Student Interaction: The tutor can be available for drop-in tutoring or appointments.
- Onboarding Timeline: The hiring process, including HR paperwork and initial onboarding, typically takes 2–3 weeks. Tutors are expected to complete their training within the first month of employment.
- Certification: All embedded tutors must have, or be working toward, their Level 1 College Reading and Learning Association (CRLA) certification, which is provided through Tutoring Services.
Level 3b: In-Person Peer Embedded Tutor
These tutors provide both Canvas-based support and in-class assistance. They respond to discussion posts and give feedback on assignments at the request of faculty, send announcements to encourage students to use tutoring services, and provide a video introduction embedded in Canvas. In addition to their online presence, they attend one to two class sessions per week, circulating to assist students in small groups or individually. Here’s what you need to know:
- Canvas Role: Frequent Interaction (Discussion, Announcements, and Assignments).
- Tutor Requirements: Must have completed the course with a grade of B or higher and obtained a recommendation from a Yavapai College faculty member.
- Faculty Involvement: Must complete the Embedded Tutor Micro-Credential and have regular communication with the tutor.
- Student Interaction: Tutors can be available for drop-in tutoring or appointments in addition to their scheduled class time.
